Create Shopify Wholesale Draft Orders from Airtable Forms

In Shopify, a draft order is an order created outside the storefront checkout. Stores use them for invoiced sales, manual orders, and wholesale order entry handled by a sales rep instead of the customer.

The admin’s draft order builder is a single-record interface: search for each product, enter the customer, set quantities, save. As a daily order capture tool for a sales team or a self-serve wholesale channel, it is a bottleneck.

AirPower syncs draft orders from an Airtable table to Shopify. Each row becomes a draft order, and linked variant rows are turned into line items automatically. Pair the table with an Airtable Form view and a wholesale rep, or the buyer directly, has a structured entry surface that lands as a Shopify draft order on the next sync.

Set up the Airtable order entry table

Create a table to hold your wholesale orders with the columns you need during order entry. Create a Form view of that table and share the link with anyone who enters orders. Data can also be entered directly in the table or via the Airtable mobile app.

Map standard draft order fields

  1. Open the Airtable → Shopify sync
  2. Go to Data & fields
  3. Click Draft Orders
  4. Select the Airtable table that contains the draft order records
  5. Open the Main Fields pane and map the draft order fields you want to sync
  6. Click Save sync

Map variant line items

AirPower can build draft order line items automatically from linked variant rows. Instead of manually entering Shopify variant IDs, you link directly to rows in your Variants table.

  1. Inside the Draft Orders configuration, open the Custom fields pane
  2. Click + Add row for each variant column in your table. For each row, set:
    • Variant link column: the Airtable column linked to your Variants table
    • Quantity column: the column storing the quantity for that variant
    • Discount amount column: optional column for a line item discount
  3. Click Save sync

When the sync runs, AirPower reads each linked variant and quantity and creates the corresponding line items on the draft order in Shopify.

Create new customers inline

To create a Shopify customer record as part of draft order entry, map the customer.* fields in the Main Fields pane to the relevant columns. When AirPower syncs a draft order row that has no linked Customer record, it creates a new Shopify customer from the mapped fields and links it to the draft order. After the customer is created, those fields are ignored on subsequent syncs.
